Terms & Conditions

Please read these terms carefully before booking your tour

1. Introduction

Welcome to Safaris Kilimanjaro Cultural and Wonders. These Terms and Conditions govern your use of our website and services, including all tours, safaris, and activities booked through us. By accessing our website or booking any of our services, you agree to be bound by these terms.

Safaris Kilimanjaro Cultural and Wonders is a registered tour operator based in Moshi, Tanzania. Our registration number is TZ-2023-001. We specialize in Kilimanjaro climbing, Tanzania safaris, cultural tours, and day trips.

Important: Please read these terms carefully before making a booking. If you have any questions, please contact us before proceeding with your booking.

2. Booking & Confirmation

All bookings are subject to availability. To secure your booking, a deposit of 30% of the total tour cost is required at the time of booking. The remaining balance must be paid no later than 30 days before the departure date. For bookings made within 30 days of departure, full payment is required at the time of booking.

Upon receipt of your deposit, we will send you a confirmation invoice and booking confirmation via email. Please review all details carefully and notify us immediately of any discrepancies.

2.1 Booking Process

  • Submit your inquiry via our website, email, or WhatsApp
  • Receive a custom itinerary and quote within 24 hours
  • Confirm your booking by paying the required deposit
  • Receive booking confirmation and pre-departure information

3. Payments

We accept payments via:

  • Bank Transfer: Direct wire transfer to our Tanzanian bank account
  • Credit/Debit Card: Visa, Mastercard, American Express (via secure payment link)
  • PayPal: Additional fees may apply
  • Cash: USD or TZS accepted at our office in Moshi

All payments must be made in USD unless otherwise agreed. Any bank transfer fees or currency conversion charges are the responsibility of the client.

4. Cancellation Policy

We understand that plans can change. Our cancellation policy is as follows:

4.1 Cancellation by Client

  • 60+ days before departure: 90% refund (10% administrative fee)
  • 30-59 days before departure: 50% refund
  • 15-29 days before departure: 25% refund
  • Less than 14 days before departure: No refund

All cancellations must be submitted in writing via email to safariskilicultural@gmail.com. The date of cancellation is the date we receive your written notification.

4.2 Cancellation by Us

In the unlikely event that we need to cancel your tour due to unforeseen circumstances (such as natural disasters, political instability, or safety concerns), we will provide a full refund of all payments made. We will also assist in finding alternative arrangements if possible.

Travel Insurance: We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation, medical expenses, emergency evacuation, and lost luggage.

5. Changes & Amendments

5.1 Changes by Client

If you wish to make changes to your confirmed booking, please notify us in writing. Changes are subject to availability and may incur additional fees:

  • Date changes: $50 administrative fee + any supplier fees
  • Itinerary changes: Additional costs may apply
  • Name changes: $25 per change

5.2 Changes by Us

Occasionally, we may need to make changes to itineraries due to weather conditions, park regulations, or other operational reasons. We will notify you as soon as possible and make reasonable efforts to provide suitable alternatives. If significant changes are required, you may be entitled to a refund.

6. Prices & Inclusions

All prices quoted are in USD and include:

  • Park entry fees and conservation fees
  • Professional English-speaking guides
  • Transportation in 4x4 safari vehicles or private vehicles
  • Accommodation as specified in the itinerary
  • Meals as specified (breakfast, lunch, dinner)
  • Bottled water during activities
  • Airport transfers

Prices do not include:

  • International flights and visas
  • Travel insurance
  • Personal expenses (souvenirs, laundry, etc.)
  • Tips and gratuities for guides and staff
  • Alcoholic beverages
  • Optional activities not specified in the itinerary

7. Travel Insurance

Travel insurance is mandatory for all clients. Your insurance must cover:

  • Medical expenses and emergency evacuation (minimum $50,000 coverage)
  • Trip cancellation and interruption
  • Lost or stolen luggage and personal effects
  • Personal liability

For Kilimanjaro climbs, we require insurance that covers high-altitude trekking (up to 6,000 meters). You will be asked to provide proof of insurance before the start of your tour.

8. Health & Fitness Requirements

8.1 Kilimanjaro Climbing

Climbing Kilimanjaro requires a good level of physical fitness. All climbers must:

  • Complete a medical questionnaire before the climb
  • Be free from serious medical conditions that could affect their ability to climb
  • Follow the guide's instructions regarding pace and acclimatization
  • Inform guides of any health issues during the climb

We reserve the right to refuse participation to anyone we believe is not physically fit or has a medical condition that could endanger themselves or others.

8.2 Safaris & Other Activities

Most safari activities are suitable for all fitness levels. However, walking safaris and hiking require moderate fitness. Please inform us of any medical conditions or mobility concerns before booking.

9. Liability

Safaris Kilimanjaro Cultural and Wonders acts as a tour operator and is responsible for arranging services as described in your itinerary. We are not liable for:

  • Acts of God, natural disasters, or other force majeure events
  • Loss, injury, or damage caused by third-party service providers (airlines, hotels, etc.)
  • Loss or damage to personal belongings
  • Illness, injury, or death during activities (this is covered by your travel insurance)

Our liability is limited to the amount paid for the tour services. We recommend you review the terms and conditions of all third-party providers separately.

10. Passports & Visas

It is your responsibility to ensure that you have:

  • A valid passport with at least 6 months validity beyond your planned departure date
  • Any required visas for entry into Tanzania
  • Any required vaccination certificates (including Yellow Fever)

We can provide advice on visa requirements but are not responsible for denied entry due to inadequate documentation.

11. Force Majeure

Neither party shall be liable for any failure or delay in performing its obligations under these Terms if such failure or delay is due to circumstances beyond its reasonable control, including but not limited to: natural disasters, war, terrorism, civil unrest, strikes, government regulations, or adverse weather conditions.

In the event of force majeure, we will make reasonable efforts to reschedule or provide alternative arrangements. If this is not possible, refunds will be subject to our cancellation policy and supplier terms.

12. Photography & Media

We often take photographs and videos during tours for promotional purposes. By participating in our tours, you grant us permission to use any images or videos taken during your tour for marketing materials, website content, and social media. If you prefer not to be photographed, please inform your guide at the start of the tour.

13. Complaints & Disputes

If you have any concerns during your tour, please inform your guide immediately so we can address the issue promptly. If you remain unsatisfied, please submit a written complaint within 14 days of the tour's completion to safariskilicultural@gmail.com.

Any disputes arising from these Terms shall be governed by the laws of Tanzania and shall be resolved through negotiation. If negotiation fails, disputes shall be submitted to the courts of Tanzania.

14. Privacy Policy

We respect your privacy and are committed to protecting your personal information. Any information you provide will be used solely for the purpose of arranging your tour and will not be shared with third parties except as necessary to provide our services (e.g., park authorities, accommodation providers).
